When necessary, the system allows you to edit document categories. To make edits, follow the steps below: 


On the home screen, locate and click the New Document tab


In the Create New Document screen, go to the Category field and select the category you want to edit. 


Then, click the pencil icon next to the category name:

On the Edit Category screen, you can edit the Abbreviation and Name fields, as well as add or remove document stages (Consensus/Approval): 


Next, the option to add a header and footer to documents created within the system will be available. For more information on this feature, click here


Click on the Header and Footer option, then select Header, and you’ll be able to upload your company’s logo. 


Below, an example image will be shown, illustrating how the header will appear when creating a new document. 

If desired, select the Footer option just below — a preview will also be displayed, showing how the footer will appear in the document. 

To expand and edit the Documented Information Control settings, click on that option. Once expanded, you’ll be able to edit all related fields: Distribution, Preservation, Access, Change Control, Retrieval, Retention, Use, Disposition, Storage.


Next, you can define the document code format. Click on the Code Format option. You'll be able to configure the document code using a sequence of elements, including:

  • Category abbreviation

  • Sequential number

  • Organizational unit abbreviation

  • Process abbreviation


In the Separator field, you can define which character will appear between the elements of the document code (e.g., hyphen, underscore).

Next to the Process and Organizational Unit fields, there is an option to show or hide the abbreviations, since these fields are considered optional.


You can also adjust the display order of the defined elements according to your company’s preferred structure. 



After making the necessary edits, simply click the Save button located at the bottom right of the screen. 


For confirmation, the system will issue a notification informing that the category has been successfully saved! 


If you do not wish to proceed with the changes, just click the Cancel button:
