Objective

During the document drafting phase, it is possible to attach an already prepared file or Create a file directly within the system using the built-in text editor.

Requirements

To create a file, the user must be assigned as the person responsible for the document's drafting/elaboration stage.


Step-by-Step

  1. To create a file in the drafting stage, the assigned user must click on the Create file menu.

  2. The system will open the text editor, where you can build your file from scratch.
    Note: If the header and footer were configured in the document's category, they will automatically be displayed as soon as you open the file, for more details on document creation, click here

  3. Clicking the Save button will save all changes made to the document, whether to finish drafting or to continue at a later time.

    Attention: Always save your progress using this button. If you save using the icon in the editor toolbar, the changes will not be saved.


    Clicking the Close button allows you to return to the previous screen.
    Attention: If you choose to close the document, any unsaved changes will be lost.

  4. If you opted to finish the file at another time, simply click the pencil icon on the drafting screen to resume the task.


Text Editor Features

The text editor provides various tools for content formatting and organization, allowing the creation of more structured and customized documents. Below are the features available in each menu on the toolbar:


File

The File menu gathers options related to document management, allowing you to save changes, export content into different formats, consult file information, and configure advanced settings.

  • Save
    Note: Changes will NOT be recorded in the system using this button inside the editor. Always use the Save button located at the top-left of the external screen outside the editor to save your progres
  • Download
    Allows exporting the file to your computer in different formats, such as DOCX, PDF, and TXT.
  • Document Info
    Displays file information and properties, such as last modification date, number of pages, among others.
  • Advanced Settings
    Allows accessing additional editor settings.
    Note: The auto-save option available in Advanced Settings is not active in the system. To avoid losing your changes, always use the Save (Gravar) button, located at the top-left of the external screen outside the editor, to save your progress safely.


Home

This menu gathers the main tools used for document editing and text formatting.

  • Clipboard

    Provides resources to copy, cut, paste, undo, or redo changes in the document.

  • Font

    Allows customizing the typography of the selected text, including choices of font style, size, color, background color (highlight), as well as formatting like bold, italic, underline, and strikethrough.
  • Paragraph
    Offers tools to adjust text alignment (left, centered, right, or justified), line and paragraph spacing, lists with bullet points or numbering, indents, and background colors for text blocks.
  • Styles
    Displays pre-configured formatting patterns for titles, subtitles, headings, and normal text, ensuring visual consistency throughout the entire document and enabling the automatic creation of a Table of Contents.

  • Editing
    Provides resources to search for words or specific terms in the text and replace them automatically.



Insert

This menu is used to add different types of elements, objects, and markings to enrich and structure your document.

  • PagesProvides features to manage pagination and text continuity.

  • Tables
    Allows structuring data into rows and columns.

  • Illustrations
    Offers tools to add visual elements and graphics to the document, including:

    • Image;

    • Shape;

    • SmartArt (inserts ready-to-use diagrams, organizational charts, and flowcharts to facilitate visual communication);

    • Chart.

  • Hyperlink:Allows adding links to external websites or to other locations within the document itself.

  • Header & Footer: Provides resources to include, edit, or delete fixed information at the top and bottom of pages.

  • Text: Allows inserting informative blocks and dynamic writing or styling elements, containing:

    • Text Box: Creates an isolated block of text that can be moved freely around the page.

    • WordArt: Inserts stylized fonts with graphic effects and custom colors.

    • Drop Cap: Highlights and significantly enlarges the first letter of a paragraph, commonly used at the beginning of chapters.

    • Date & Time: Inserts information in various formats, with the option for automatic updates.

    • Text from File: Allows importing and merging the entire content of another full document into the current file.
      Note: Due to a limitation in the current version of the editor, the system will display an error and the import will fail if:

      • The file selected for import contains images;

      • The current document (created in Qualyteam) already has a header and you attempt to import a file that also contains a header.

        Workaround: If the file you need to import has images or headers, remove those elements from the original document before performing the procedure. Once the clean text is successfully imported, you can manually insert images using the editor's Image menu.

    • FieldProvides tools for inserting special characters and mathematical formulas, including:

      • Equation: Opens the equation editor to create complex formulas and structured mathematical expressions.

      • Symbol: Allows you to insert characters that are not available on a standard keyboard, such as arrows, registered trademarks, and mathematical symbols.


    • Content Controls Allows inserting editable fields such as check boxes, drop-down lists, and calendars, ideal for creating forms or document templates that need to be filled out by other users.



Draw

This menu allows you to create freehand drawings, touch annotations, and visual markings directly on the document body.

  • Pen: Allows you to draw thin, continuous freehand lines.
  • Highlighter: Works as a semi-transparent highlighter, ideal for emphasizing important sections.
  • Eraser: Allows you to erase specific strokes or entire drawings created with the pen or highlighter.

Layout


The Layout menu provides tools to adjust the appearance and organization of the document, such as margins, page orientation, paper size, and the overall alignment of the content.

  • Page SetupProvides features to adjust the physical properties of the sheet, such as:

    • Margins, Orientation, Size;
      Note: These options are temporarily visible in the editor, but changes made here are not saved. The Qualyteam system automatically standardizes file layouts upon opening and closing the document.
    • Columns: Splits text into two or more vertical columns on the page, newspaper or scientific article style.
    • Breaks: Allows forcing text onto the next page or creating isolated sections to apply different formatting within the same file.
    • Line Numbers: Inserts an automatic numerical count on the left margin of each line in the document.
    • Hyphenation: Enables syllable hyphenation at the end of lines, avoiding large blank spaces and making the text look more harmonic.
  • ParagraphAllows adjusting the exact positioning of text relative to the margins.

  • ArrangeProvides resources to manage the placement and alignment of objects (such as images and shapes) on the page, including tools for:

    • Wrap Text: Adjusts how text flows around or through an image placed on the page.
    • Bring Forward / Send Backward: Changes the layer order of objects, defining which sits on top or underneath.
    • Object alignment and grouping.
  • Page BackgroundAllows customizing background elements of the document, providing resources like:

    • Watermark;

    • Page Color.

  • Color SchemeAllows changing the default color palette of the document to modify suggested colors in font, table, and shape selectors to match your company's visual identity.


References


This menu manages support, navigation, and indexing elements, which are essential for technical reports, manuals, and Standard Operating Procedures (SOPs).

  • Table of Contents Provides tools to create and manage indexes and tables of contents in the document.

    • Table of Contents: Generates an automatic table of contents structured from heading styles configured in the text.
    • Add Text: Includes the selected paragraph into a specific level of the automatic table of contents.
    • Update Table: Recalculates page numbers and titles in the table of contents after you make changes to the document.
  • FootnoteAllows inserting and managing explanatory or reference notes at the bottom of pages.

  • LinksProvides tools for creating links, anchor points, and quick navigation throughout the text.

  • CaptionProvides tools to create hyperlinks, anchors, and quick navigation points within the document.
     

    • Captions: Adds an automatically numbered label above or below images, tables, or charts, such as "Figure 1" or "Table 2".

    • Cross-reference: Creates a dynamic internal link that directs the reader to another element in the document, for example, "as detailed in Table 2" or "see page 4 for more information."

    • Table of Figures: Generates an automatic index listing only the titles of all images, charts, and illustrations in the document.

    • Update Table: Updates the Table of Figures. 


Collaboration

Options in this menu are disabled within the editor. Change tracking and document writing are centralized and managed by Qualyteam's creation workflow, allowing only the user currently in the drafting stage to make modifications to the text.


View


This menu gathers tools to customize the workspace view, adjusting screen elements to improve visual comfort and editing accuracy.

  • Navigation
    Toggles the structural view of the document, showing or hiding the title outline on the side panel to easily jump to specific sections.

  • ZoomAdjusts document size on the screen to improve readability, including:

    • Magnification: Allows setting an exact zoom percentage.
    • Fit Page: Resizes the document so the entire sheet fits at once in the visible area.
    • Page Width: Enlarges the document so margins occupy the full width of your screen.
  • AppearanceOffers options to customize the system light scheme:

    • Interface Theme: Choose between Light, Dark, or Classic editor modes.
    • Dark Document: Inverts paper colors to black and text to white, reducing eye strain in low-light environments (available only when Dark Mode is enabled).
  • Screen ElementsProvides interactive checkboxes to enable or disable auxiliary bars and panels on the screen:

    • Always show the toolbar;
    • Status Bar: Bottom bar presenting quick file info, such as page count and word count;
    • Left Panel: Shows or hides the sidebar containing search, comments, and table of contents;
    • Right Panel: Shows or hides the sidebar for quick document settings or selected objects.
  • Visual GuidesEnables precision markers on the page, displaying margin rulers for visual alignment of text and objects.


Side Panels (Sidebars)

The text editor features interactive side panels (left and right) that assist in navigation, organization, and quick formatting of specific document elements without interrupting the writing flow.

  • Left Panel (Navigation and Comments):

    • Headings: Displays the dynamic table of contents based on configured styles, allowing single-click navigation to specific sections.

    • Search: Enables searching for keywords or specific terms throughout the text and replacing them automatically.

    • Comments: Centralizes notes and observations made throughout the file.

  • Right Panel (Settings and Dynamic Formatting):

    • Works contextually, changing its options based on the element selected on the page.

    • Text and Paragraph: Displays quick typography tools for advanced text block formatting and spacing.

    • Object Configuration: When an image, shape, or table is selected, the right panel activates automatically to display adjustments for size, borders, alignment, and text wrapping
