After completing the Improvement Opportunity information screen, the system provides four optional fields to be filled out: Expected results, Maintaining the integrity of the QMS, Resource availability, and Allocation/Reallocation of authorities and responsibilities:
Below is an explanation of each field and a practical example of how to use it:
Expected results
Function: To describe the benefits or improvements expected to be achieved with the implementation of the proposed action.
Objective: To justify the reason for the change, demonstrating the value added to the process, whether in efficiency, conformity, quality, or customer satisfaction.
Practical example: To show that the additional steps in the selection process will reduce hiring errors and improve the performance of new employees.
Maintaining the integrity of the QMS
Function: To assess whether the proposed change positively or negatively interferes with the structure and controls of the Quality Management System (QMS).
Objective: To ensure that the improvement does not compromise conformity with ISO 9001 requirements, but rather reinforces the standardization, control, and effectiveness of processes.
Practical example: To verify if the new selection procedures continue to comply with the documented guidelines and promote a quality-focused culture.
Resource availability
Function: To identify the resources (human, technological, financial, time, etc.) necessary to implement the improvement.
Objective: To prevent implementation failures due to a lack of support or planning.
Practical example: To check if HR will have sufficient time and tools to apply the new stages of the selection process.
Allocation/Reallocation of authorities and responsibilities
Function: To analyze if the change requires new roles or adjustments in the responsibilities of the people involved.
Objective: To ensure clarity and effectiveness in the implementation of the improvement, avoiding conflicts or gaps in responsibility.Practical example: To define who will be responsible for applying technical assessments, approving profiles, or reviewing selection criteria.
