The Nonconformities module allows the registration of incidents and nonconformities, and in this article, we will explain how to register an incident in the module.


In the system header, go to the "Register occurrence" option. After doing that, fill in the required fields, and if needed, you can add attachment(s).



Notes about the fields:


  • Occurrence date: You can only enter the current or a past date— the system does not allow incidents to be registered with a future date.
  • Origin: You can only select one source. To add a new source, simply click on the field and then on the "Add new" button.
  • Responsible for supervising: You can only select one user to be responsible for the occurrence.  


After filling in all the required fields, the system will enable two buttons: "Create correction" and "Save." 


If desired, the registering user can save the incident record without creating immediate actions. When doing so, the system will display a success message: 



If the registering user chooses to add immediate actions, simply click the "Create correction" button. On the screen that opens, click the "Add correction" button and fill in the required fields. Once all fields are completed, click "Save."



The system allows you to register additional actions, and once you’ve finished, simply click "Save" to register the incident, or "Details" to return to the incident form.


After saving the incident, a task will be generated for the user selected in the "Supervisor responsible" field. 


If immediate actions have not been registered, the pending item will appear as follows:



In this task, the responsible person can proceed in two ways: view the immediate actions (edit/add new ones), or close the incident.


To view the actions, simply click on the three dots next to the "Complete" button, and then click on "Corrections":



If immediate actions have been registered, the pending item will appear as follows for the user selected in the "Supervisor responsible" field:


 

In this task, the responsible person depends on the action(s) being closed in order to close the occurrence.


With the actions completed, the responsible person can proceed with closing the incident by clicking the "Complete" button. Upon clicking the button, the system will display 3 options:



If "Close occurrence" is selected, the incident will be closed, the system will display a confirmation message, and it will be available for review under the "Search":



If "Close and open nonconformity" is selected, the system will display a confirmation message indicating that it will now be treated as a nonconformity, and it will open the nonconformity details screen:



If "Transfer closure decision" is selected, a responsible person field will be displayed, and a user must be selected. Once selected and confirmed, the closure task will be forwarded to the user chosen in the field:
