On the document details screen, you can consult specific information about the document, such as the people responsible for each review stage, users who viewed the document, distributed copies, and other details.
To access the Document Details screen, follow the steps below:
Go to the Search menu:
Then, search for and select the desired document. You can use filters to refine your search; for more details, please refer to this article.
The document will be displayed on the next screen. Click the Details button to access the document information.
Then, the screen with detailed information about the document and some options will be shown, as described below:
The Edit registration option allows you to edit the document’s registration information. For more details, refer to this article.
The Review button allows you to request a document review. For more details, refer to this article.
The Deactivate option allows you to request the deactivation of the document. For more details, refer to this article.
The Basic Information option displays the data entered during the document’s registration.
In the Attachments option, the attachments added to the document during the drafting stage are shown. It is also possible to add, remove, or replace attachments.
Under Revisions, you can view a history of the document versions, including information such as the revision code, publication date, and the user who requested the revision. By expanding the flag of each version, you can view the reason for its revision.
The People in charge section shows the users responsible for each stage of the document’s review workflow and the date each stage was completed.
Under Views, the users who have read the document and the date when the reading occurred are displayed.
If the document has any printed Controlled Copies, this information will be displayed below. Details such as who printed it, distribution location, location manager, number of copies, and printing date will be listed in the table.
If the user has the permission Delete distributed controlled copy enabled in their user level, the option to delete the print history will also be available to the user. For more information about permission settings, click here.
The Control option shows the documented information control data for the document in question, as defined in the category registration. For more details, refer to this article.
The Share button allows you to copy the document link and send it to other collaborators in your company. It will also be possible to scan the QR Code and view the document via a mobile device.
To exit the screen, click the X button located in the upper right corner.
To exit the document details screen and return to the query screen, select the Back button located in the upper left corner of your screen.
